Scheduling Queries

FIS Decision Support gives users the ability to schedule a query and generate reports sent through email.

The reports can be scheduled to run daily (Monday through Friday), weekly, monthly or after monthly ledgers close. On each query, there is a Schedule This Query button:

  1. Click on the Schedule This Query button to access the Edit Scheduled Query screen.
    Note: On some queries, some search criteria must be entered before the Edit Scheduled Query screen can be accessed.
  2. Enter the desired report parameters on the Edit Scheduled Query screen. In the Name field, we strongly recommend that you "customize" the name of each scheduled query you set up, to make it easy to differentiate them later. Use a comma or semi-colon to separate multiple email addresses in the Email Address field.
  3. Once all desired data is entered click Create Scheduled Query.

The scheduled report is usually emailed early on the day it is scheduled, but it can be sent as late as noon, depending on when the reports finish updating. The recipient can follow the link at the bottom of the email to stop receiving the scheduled query.

IMPORTANT: If you do not receive the email notification for your scheduled query, check your spam/junk folder. Occasionally, the email may get filtered there. You may need to change the spam settings in order to receive the notifications.

Occasionally a scheduled query may not run due to a particularly large FIS DS report load which impacts the ability of the scheduled queries to finish running by noon. In these cases, the scheduled query recipient will usually receive an email advising that the scheduled query did not run.

The FIS DS user who created the original query can edit their scheduled queries from the My Scheduled Queries link on the Decision Support Home Page. There are options to edit, inactivate, and delete.

Note: Scheduled queries can only be edited, inactivated, and/or deleted by the DS user who originally set them up. Editing rights for scheduled queries cannot be transferred or shared with another DS user. Before a KFS user is inactivated/leaves a department, they should delete any scheduled queries that they have set up in FIS Decision Support. They should work with an active KFS user so that the queries can be scheduled and maintained by another user(s). This will ensure that the scheduled queries continue to run, and future changes can be made by the other DS user(s).
